Pay a subcontractor with an RCTI

Build a pay run from a subcontractor's jobs, approve it as an RCTI, and mark it paid.

For admins · Feature: Subcontractors

  1. Open Settings, choose Subcontractors and click the subcontractor.
  2. Press Build this week's draft. For another period, pick any day in it under Build a draft for another period and press Build.
  3. Press View PDF to check the draft. It's marked DRAFT and has no number yet.
  4. Press Approve. The pay run gets its number and due date, and its lines are locked.
  5. Open its PDF to save or send it.
  6. When you've paid them, press Mark paid and enter the date.

The cards at the top show what's Owed this week (or period), Drafts to approve, Approved, not paid and Agreements due for review.

A pay run is a Recipient Created Tax Invoice only when the subcontractor has a signed agreement in force and is registered for GST. Otherwise it's a Payment statement, which isn't a tax invoice. See Add a subcontractor.

Only admins can build, approve or pay a pay run.

Common questions

A job is missing from the pay run.

Only priced jobs that aren't cancelled go on. Jobs that couldn't be priced are listed under the draft. Fix them, then press Rebuild this week's draft.

How do I change the pay period?

Press ⚙ RCTI settings and set the Pay period (Weekly, Fortnightly or Monthly), Periods start on and Pay within (days).

I approved one by mistake.

Press Void and say why. Its jobs go back into the pool for a new pay run. Its number is never reused. A paid one can't be voided.
