What each card on Approvals means

New clients, new bookings, changes, rule proposals and Needs a human. What each card is and which button to press.

For office · Feature: AI email booking

Every card leads with the client, their reference and the date. Nothing on Approvals has changed a job until someone presses a button. Admins and schedulers can act on cards; read-only logins can only read them.

  • NEW CLIENT: jobs that can't be invoiced because the customer isn't set up yet. The card is filled in from the jobs, with no rates. Press Create client (no rates yet), then add their rates on Clients. A CLIENT NOT BILLABLE card means the client exists but needs fixing: press Open Clients to fix.
  • NEW BOOKING: a customer asked for a truck. Check the date, start time, truck, pick-up, drop-off and their reference. A value copied from the email is highlighted. Some cards leave a box for you to fill in first. Press Create this booking.
  • A change to a job: shows what the Job now says beside what is Proposed, or Stops now beside Stops proposed for a route change, with the reason underneath. Press Approve & apply, Reject… (say why), or Manually fixed.
  • GPS times: for a job the driver didn't finish, the times On the job now beside the times From GPS. Approving writes the GPS times and marks the job complete.
  • Rule proposals: a pattern seen across many jobs, with the jobs listed. Press Approve or Reject….
  • Needs a human: something was found but there's nothing to approve. Where there's a box, type the right value and press its Fix button, or close it with Manually fixed or Not an issue.

At the bottom, Past jobs — billing review, Checked — no action needed and Recently actioned are lists to read. Nothing there can be approved.

For the basics, see Review changes on Approvals.

Common questions

Why is a new booking card red?

The job's date is close and nobody has decided yet. Red cards sort to the top so a truck isn't missed.

Why is there no Approve & apply button on a card?

That change can't be made from Approvals, and the card says why. Reject it and say why, or press Manually fixed if you've sorted it on the board.

Why can't I decide a rule proposal?

Some kinds of rule change how every later job is read, so only an admin can decide them. Schedulers can decide the rest.

Where did a card go after I pressed a button?

It moves to Recently actioned at the bottom of the page, with who did it.
